Alumni/ae events at chapter houses such as Game Day gatherings, House Dedications, or Alumni/ae Weekends must be registered via a Permissive Use Agreement if they involve any of the following:
- Outside catered food and/or alcohol
- Use of the facility during University closures
- A large number of guests expected at the facility

Third-Party Vendor Alcohol Distribution
If alcohol will be served by a Third-Party Vendor in exchange for payment (e.g., cash bar, paid dinner tickets, donations for drink tickets, etc.), the following are required:
- Approval from the Alabama ABC Board and the City of Tuscaloosa
- A Special Event License secured by the vendor through the ABC Special Event Application Process
- An executed UA Catered Beverage Service Permissive Use Agreement (as the event is held on UA property)

Alcohol Policy Reminders
- Alcohol cannot be served or provided to anyone under 21
- It is a violation to knowingly allow underage individuals to consume alcohol
- UA students may not:
- Serve alcohol to visibly intoxicated individuals
- Pressure others to consume alcohol
The following are prohibited, unless licensed:
- Common-source containers (e.g., kegs, beer balls, punch bowls)
- Drinking games and related paraphernalia

Catering Requirements
- All caterers must be approved through UA’s Outside Vendor Catering Program
- Approved caterers must provide:
- Business license
- Health permits
- Proof of insurance
- Caterers are required for any on-campus or UA-sponsored event with food, regardless of funding source.
- A caterer is not required if food is picked up and delivered by a chapter representative.
Additional Compliance Requirements
- Tuscaloosa County Exemption Form
- If money is exchanged for food and/or alcohol, the Tuscaloosa County Temporary Event Exemption Form must be submitted to EHS.
- At least 5 business days before the event

- Temporary Structures
- If a temporary structure, such as a tent, larger than 400 sq. ft. will be used:
- If larger tents are used and staked into the ground, contact Campus Development at (205) 348-8598 to request line locates before erecting the tent.
